School-Aged Programs – Terms & Conditions

​At Denmark Dance Company, we aim to create a safe, respectful, and inclusive environment for all students, families, and staff. By enrolling at our studio, you agree to the following policies:

Fees and Payments

  • Tuition fees are to be paid in full, either upfront at the beginning of term or per your direct debit agreement.

  • Enrolment in a class commits you to the full term's fees. There are no concessions for missed classes due to school camps, family holidays, or illness.

  • An annual $35 enrolment fee (per child) is required and is non-refundable.

  • Additional costs, including concert participation, rehearsal fees, costume fees, and video/photography fees, will be communicated in advance and added to your account.

 

Attendance and Participation

By enrolling in classes, you agree to associated concert fees. These may include:

  • Rehearsal Fee: $75

  • Costume Hire Fee: $35 per costume (school-aged dance routine)

  • Video and Photography Fee: $40

Consistent attendance is encouraged to support learning and participation, particularly for performance preparation.

 

Film and Photography

  • Filming or photography during classes by parents or other students is not permitted.

 

Respectful Behavior

  • Respectful behavior is essential for the well-being and enjoyment of all students, families, and staff.

  • Disrespectful behavior will be addressed with verbal warnings and, if necessary, action plans or termination of enrollment.

 

Assumption of Risk and Liability

  • Participation in dance, martial arts, and related physical activities involves inherent risks. By enrolling, you agree to personally assume all risks and release Denmark Dance Company from liability for any injury, loss, or damage sustained while participating.

 

Property Damage

  • Any student or parent found intentionally damaging Denmark Dance Company property will be held liable for replacement or repair.

 

Privacy

  • Denmark Dance Company complies with the Privacy Act 1988 and the Privacy Amendment Act 2012 to protect personal information.

 

Photo Release Policy

By enrolling at Denmark Dance Company, students and parents/guardians grant permission for the studio to use photos and videos taken during classes, rehearsals, performances, and other school events for promotional purposes.

 

Use of Photos and Videos:

  • Denmark Dance Company's website.

  • Social media platforms, including Instagram and Facebook.

  • Promotional materials, including brochures, posters, and advertising future workshops or events.

 

Privacy and Respect

  • Photos and videos will be used exclusively to promote Denmark Dance Company and its programs.

  • Students will not be identified by full name without prior written consent.

 

Opt-Out Option

  • Families who do not wish for their child to be photographed or filmed must notify the studio in writing before the start of the term. However, due to the nature of performances, opt-outs cannot be accommodated for group photos or videos taken during concerts or showcases. Denmark Dance Company will make every effort to honour opt-out requests for other classes and events.

 

Agreement

  • By enrolling at Denmark Dance Company, students and parents/guardians agree to this Photo and Media Release Policy.

 

Concert Policy

Participation in our concerts is an exciting and integral part of the Denmark Dance Company school-aged program experience. Please review the following policies regarding concert terms and performances:

 

Concert Participation

  • Enrolment in dance classes during concert terms (Term 2 for the Senior Mid-Year Showcase and Term 4 for the Junior and End-of-Year Showcase) includes concert participation.

  • Attendance at all scheduled rehearsals is essential.

 

Tickets

  • Families will be notified via newsletter or email when tickets for the concert become available for purchase. Please ensure your contact information is up to date to avoid missing any announcements.

 

Professional Photography and Videography

  • Concerts are professionally captured through photography and videography. These are included as part of the concert package, ensuring all parents receive high-quality memories of the event.

  • Absolutely no photography or videography is permitted by parents or guardians during the performance. This is to maintain a safe and distraction-free environment for the performers and audience.

 

Costumes and Additional Fees

  • Costume and rehearsal fees will be added to your monthly direct debit payment during the concert term. Families will be notified in advance of the exact fees and payment schedule.

 

Account Requirements

  • All outstanding fees must be paid in full before the performance date.

 

Safety and Wellbeing Policy

At Denmark Dance Company, the safety and wellbeing of our students, families, and staff are of utmost importance. By enrolling in our programs, you acknowledge and agree to the following policies:​

 

Health and Safety Standards

  • All students must follow instructions from teachers and staff to ensure a safe and productive environment.

  • Any injuries, hazards, or unsafe conditions must be reported to staff immediately.

  • Proper attire, including footwear, must be worn to minimize the risk of injury during classes.

 

Medical Disclosures

  • Parents/guardians are required to inform Denmark Dance Company of any medical conditions, allergies, or health concerns that may impact their child's participation in classes.

  • In case of an emergency, first aid will be administered by qualified staff, and parents/guardians will be contacted as soon as possible.

 

Assumption of Risk and Liability

A) You agree that Denmark Dance Company is not liable for any injury, loss, or damage suffered by you or your child whilst participating in dance, martial arts, or physical activities associated with these actions. Participation is undertaken at your own risk.

B) You acknowledge that dance, martial arts, and related physical activities have inherent risks, including the potential for serious injuries. By enrolling, you and/or your child agree to personally assume all risks associated with these activities, whether foreseen or unforeseen, that may occur during participation.

C) You agree that the terms of this policy exempt and hold harmless Denmark Dance Company from liability for any injury, loss, or damage sustained while participating in these activities.

 

Emergency Procedures

  • Denmark Dance Company is equipped to handle emergencies, including minor injuries, and will notify parents/guardians immediately if a serious incident occurs.

  • In the event of a fire, evacuation, or other emergency, students and parents must follow staff instructions to ensure safety.

 

Respectful Behavior

  • Mutual respect among students, families, and staff is essential for a positive and supportive environment. Any form of disrespect, including verbal abuse or intentional disruption, may result in disciplinary action or termination of enrollment.

 

By enrolling at Denmark Dance Company, you agree to this Safety and Wellbeing Policy, including the Assumption of Risk and Liability Agreement.

 

Direct Debit and Withdrawal Policy 

At Denmark Dance Company, we use a direct debit billing system to make tuition payments seamless and convenient. Please review the following details carefully:

 

Year-Round Billing

  • Tuition fees are divided evenly across 12 months (February to January), ensuring consistent, manageable monthly payments.

  • Alternatively, families may choose to pay quarterly (per term) upfront during the first two weeks of each term. This option allows for payment in full for that term, rather than monthly instalments.

 

Monthly Payment Schedule

  • Payments are automatically deducted on the first day of each month.

  • Families may request an alternative billing date or fortnightly payments if required.

 

Billing and Payment Schedule

  • Additional concert fees will be added to your monthly direct debit payment two months before the concert term begins.

  • For the mid-year concert, fees will be billed in April. For the end-of-year concert, fees will be billed in October.

 

Non-Refundable Fees

  • Once additional fees have been billed, they are non-refundable, even in cases of withdrawal, as these costs are committed to your child's participation (e.g., costume orders).

 

Withdrawal Policy During Concert Terms

  • If a family withdraws after concert fees have been billed, they will still be liable for the full amount of the fees. This policy protects the studio from losses associated with pre-ordered costumes, confirmed production costs, and rehearsal planning.

 

Failed Payments

  • If a payment is declined, you will be notified immediately. Payments must be resolved within seven days to avoid a $10 late fee.

 

Cancellation and Withdrawal

  • A minimum of two weeks' written notice is required for cancellations or withdrawals. Notice must be submitted via email.

  • For mid-term withdrawals, fees are non-refundable, but credit for unused classes may be applied to future terms at our discretion.

  • A $15 administrative fee applies to withdrawals. This fee helps cover processing costs and any costumes already purchased for the student.

  • Direct debit adjustments: Withdrawals must be submitted at least 14 days before the next scheduled payment to avoid additional charges.

 

Special Circumstances

  • In cases of medical or family emergencies, exceptions may be considered. Supporting documentation may be required.

 

Termination by Denmark Dance Company

  • The studio reserves the right to terminate a student's enrollment for ongoing behavioral issues, unpaid fees, or breaches of studio policies.
